By booking, registering for, making a payment towards, or participating in a trip with Expedition: Humanitarian, you agree to the terms below. These Terms represent a legally binding contract.

To help us provide you with the very best adventures at the lowest possible prices and avoid confusion and misunderstandings, please read these Terms carefully. We do our best to provide accurate and up-to-date information on our website, but errors may occur. Please confirm pricing and details prior to making a booking.

Booking and Cost

Booking on Behalf of Others

If you make a booking for anyone other than yourself, you are considered the designated contact person for those other travelers. You represent and warrant that you are legally authorized to act on their behalf, that you have obtained all required consents, and that you will inform them of these Terms. You are also responsible for making all payments, notifying us of any changes or cancellations, and keeping the other travelers informed.

Registration

After you complete your booking, we will send you an email containing a link to a secure traveler registration form. For most packages, you must complete this form within 30 days of booking.

Confirmation

After we receive your booking and deposit, you will receive an immediate email confirmation. If any option or component you selected is not available, we will alert you and give you the option to modify your booking.

Price Changes

From the time of your booking confirmation until your final payment, your price may only change if: (1) you request changes or customizations; (2) new or increased government taxes or fees are implemented; or (3) vendor costs increase. Once fully paid, your package price will not change except for government tax changes or your own requested customizations.

Special Meal Requests or Diets

You may enter special meal requests or dietary restrictions when you complete your registration form. We will relay your requests to our partners in the destination but cannot guarantee they will be honored. Some requests may be difficult to accommodate in certain destinations.

Prices

Advertised trip prices are based on double occupancy or higher and do not include optional add-ons unless otherwise noted. Trip costs do not include airfare to/from the destination. Prices and availability are subject to change until your booking is confirmed. All advertised prices are in U.S. currency. Promotional discounts apply only to new bookings and are not retroactive to existing confirmed bookings.

Payments, Refunds, and Credits

Deposits

A non-refundable deposit is required to secure your booking and will be applied toward the cost of your trip. Deposits vary by package. Changes or customizations you request may require an increased or additional deposit. Deposits are nonrefundable after we confirm your booking unless we cancel your trip.

Final Payment

Any remaining balance must be paid by your final payment due date, most often 60 days prior to departure. On a payment plan, you must be at least 50% paid 100 days prior to your trip. If you have not paid a minimum of 50% by 100 days prior, your booking may be canceled. If you have not paid in full by your due date, a $50 late fee applies. If payment is not received within 10 days after your due date, your booking will be canceled and your deposit forfeited.

Payment Methods

We accept:
  • Visa, MasterCard, Discover, and American Express (via our website)
  • Bank Transfers (select during checkout)
  • Travel Credits issued by us (contact us to redeem)
We do not accept other forms of payment. Payments must be made in U.S. currency; a conversion fee may apply.

Returned Payments

If a payment is returned due to insufficient funds, stop payment, a closed account, or any other reason, a $50 returned check fee will be added to your balance. If notified after your final payment due date, a replacement payment must be received within 48 hours or your booking may be canceled.

Refunds

Refunds will be processed as promptly as possible, generally within three weeks of being requested. If funds have been paid to partners, your refund will be issued after those funds are recovered. Refunds for credit card payments will be credited to that card; otherwise, refunds will be issued by check.

Travel Credits

Credits are issued in U.S. dollars and may be redeemed toward a future trip balance. Credits may not be used toward visa fees, airport/port/border fees, optional excursions, or personal items. Credits are not redeemable for cash and carry over to future bookings provided they have not expired.

Changes and Cancellations

Booking Changes Policy

The booking policy applies only to a new booking (one made without funds from a previous cancellation) and only to your original booking (rebookings are limited to one). Subsequent bookings will be subject to standard cancellation penalties. Coupons or discounts do not transfer from a canceled booking to a new one.

If you decide not to travel for any reason, your booking was not made using funds from a previous cancellation, and you notify us at least 60 days prior to departure, you may:

  • Receive a refund of all payments made, less your initial deposit.
  • Receive future travel credits worth everything you have paid, valid for 2 years from your booking date.

No additional fees or penalties apply beyond the initial non-refundable deposit. Changes or cancellations requested within 60 days of the trip are non-refundable under any circumstances. We strongly recommend purchasing trip insurance.

Name Changes

You must provide the exact names of all travelers as they appear on their passport, including titles and multiple names. After submitting your registration form, any name changes must be reported to us immediately and may be subject to vendor fees. Errors not corrected prior to travel could prevent boarding or entry and may require purchase of new airfare.

Cancellations by EH

If you elect to cancel your booking, you must notify us in writing. When you cancel, we will refund all monies paid minus your deposit and the cost of any non-refundable issued domestic travel tickets. Most packages require a minimum number of travelers to operate. We reserve the right to cancel or reschedule any departure due to insufficient demand, unsafe conditions, or events beyond our control. If we cancel, we will notify you prior to your final payment due date (where possible) and offer alternate dates or a full refund. We are not responsible for incidental expenses resulting from a canceled booking, including connecting flights, accommodations, visas, or vaccinations.

Not Included

Unless otherwise noted, the following are not included in the advertised price:
  • International airfare and associated fees
  • Entry visa fees
  • Optional extensions and excursions
  • Personal, baggage, and travel insurance
  • Gratuities
  • Beverages
  • Items not specifically mentioned in the itinerary or included features list
  • Any items of a personal nature

Unused Services

Unused services cannot be refunded once the trip has begun. No refund can be made for absence from any part of the itinerary.

Accommodations

Our packages include carefully selected accommodations at double occupancy or more. Special requests (bedding, smoking preference, etc.) are subject to availability. At least 14 days prior to departure, we will send a full accommodations list including addresses and phone numbers. While we select upscale accommodations, some locations may not have air conditioning, particularly in rustic or remote areas.

Optional Activities

Any activity, transportation, meal, product, or service listed as optional and not expressly included in the package price is considered an Optional Activity, often provided by Third Party Suppliers. We cannot guarantee availability or pricing for in-destination optional activities. If a pre-paid Optional Activity is unavailable, we will refund your payment for that item. We expressly deny any liability arising from participation in, or unavailability of, Optional Activities.

Travel Insurance

We highly recommend you carry travel insurance or equivalent coverage. EH is not responsible for accidents, illness, emergencies, or other situations that may arise during travel.

Trip Operation

Itineraries

We strive to operate all trips as scheduled, but international travel can be unpredictable. We reserve the right to adjust itineraries to maintain a smooth experience. Please review the most up-to-date itinerary on our website, which we will also email at least 7 days before departure. Details such as routes, schedules, and amenities may change without notice; we will aim to provide an equivalent or improved experience and are not liable for damages resulting from such changes.

Force Majeure

Certain unexpected circumstances beyond anyone's control may arise, including but not limited to weather events, pandemics, quarantines, border closures, government acts, wars, political disturbances, riots, strikes, terrorist activities, criminal acts by third parties, equipment failure, or Acts of God. We will not be held responsible for any losses caused by such events. Any resulting costs will be the responsibility of the traveler.

Third Party Suppliers

EH works with airlines, hotels, coach companies, transfer operators, tour guides, and other independent parties to deliver your booking. While we take care in selecting these partners, we do not supervise or control them and cannot be responsible for their acts or omissions. We are not responsible for cancellations, delays, luggage loss or damage, injury, illness, or death caused by third parties. Air carriers and cruise lines are not responsible for events outside their aircraft or vessels. We are not responsible for criminal conduct by third parties.

Participation

Joining a Tour

You are responsible for making your own way to the package starting point (usually the first hotel listed in the itinerary) and allowing sufficient time for all flights and transfers. If you miss your flights or transfers, contact us immediately. We will make reasonable efforts to help you join your group, but any extra costs incurred are your responsibility and unused services are non-refundable.

Tour Managers

On escorted group tours, you will be accompanied by an EH team member who is responsible for the safety and well-being of all travelers and the smooth operation of the tour. The tour manager's decisions are final on all matters affecting safety or group well-being.

Group Participation

Traveling with a group can be challenging abroad. We reserve the right to remove any traveler whose behavior is disruptive or incompatible with the group. If your actions are deemed unsafe, disrespectful, or detrimental to the group at the sole discretion of our team, you may be asked to leave the tour. No refunds will be provided, and any resulting expenses are your responsibility. We also reserve the right to deny participation in future trips.

Age Requirements

You must be 18 or older to make a booking.

Travelers with Disabilities or Difficulties

Travelers requiring special assistance must notify us at the time of booking. We will make reasonable attempts to accommodate special needs, but cannot guarantee that all disabilities or difficulties can be accommodated, especially in foreign countries and remote locales. Our coaches are generally not equipped for wheelchairs. We cannot accept travelers who require service animals. Travelers who require individual assistance for walking, dining, or boarding transportation must be accompanied by a qualified paid companion. Our itineraries may include strenuous activities such as hiking, walking over uneven surfaces, ascending to high elevations, or traveling in small boats. It is the responsibility of all travelers to assess their own abilities and consult with medical personnel before booking.

Acceptance of Risk

You acknowledge that travel, especially to foreign and remote destinations, involves some risk to your health and safety. Standards of hygiene, accommodation, and transport in certain destinations may be lower than what you expect at home. By booking, you acknowledge that you have considered the potential risks and your own capabilities, and you assume responsibility for all such risks. You agree to use all safety devices and obey all posted warnings. Absent negligence on our part, EH and our representatives will not be held liable for any losses, damages, injuries, or death resulting from failure to comply with safety instructions or the inherent risks of travel.

Emergency Medical Treatment

Should a medical emergency arise that prevents you from consenting to treatment, we or our representatives will endeavor to contact your designated emergency contact. If circumstances do not permit that communication, you authorize our representatives to consent on your behalf to any medical treatment deemed advisable by a physician or surgeon. You agree not to hold us responsible for actions relating to any such emergency treatment.

Baggage and Personal Effects

You are responsible for safeguarding your luggage, camera, and other personal effects while in your possession. We are not responsible for lost or stolen personal items. Luggage damaged by airlines is the responsibility of the airline; be sure to submit a baggage claim form before exiting the airport.

Local Purchases and Laws

We are not responsible for the quality, authenticity, delivery, or receipt of any items you purchase while on tour. Inspect all merchandise before leaving any store, as returns may not be permitted. During travel, you must always comply with the laws and regulations of all places visited. Illegal acts may result in removal from the tour and fines or punishment by local authorities.

Passports, Visas, and Entry Requirements

We provide entry requirement information for U.S. passport holders. Travelers with other passports are responsible for determining their own requirements. Requirements are subject to change without notice; verify with the relevant embassy or consulate. It is each traveler's responsibility to understand and comply with all entry requirements and pay any applicable Entry and Exit Fees.

Passports

Passports are generally required for all travelers going abroad. Your passport should be valid for at least six months after your return date. Provide all traveler names exactly as they appear on their passport, including titles and multiple names, on your registration form. Errors not corrected before travel could prevent boarding or entry and may require the purchase of new airfare. For some trips, you must provide color copies of your passport photo/signature page within 5 days of booking.

Travel Visas and Other Documents

Travel visas are required for many countries. Some countries also require proof of immunization. As a courtesy, we will send visa instructions for U.S. passport holders after booking. Non-U.S. passport holders are responsible for determining their own visa requirements.

Entry and Exit Fees

Some countries, airports, or ports require payment of entry or exit fees upon arrival or departure, which must be paid directly by the traveler and cannot be included in our package prices. We do our best to inform you of such fees but are not responsible for omissions or errors.

Your Information and Privacy

Privacy Policy

When you make a booking, use our website, sign up for our newsletter, or interact with us, we may collect personal information as described in our Privacy Policy. By using our website or booking travel with us, you accept our Privacy Policy.

Required Information

To make a booking, we require the full legal name, gender, birthdate, and passport information for each traveler, plus the name and contact information of a designated emergency contact who is not traveling. You are responsible for verifying that all information is complete and accurate. We are not liable for any errors or omissions in the information you provide.

Images and Marketing

While participating in any of our packages, images, photos, or videos may be taken that contain or feature you. By booking, you consent to such images being taken and grant a perpetual, royalty-free, worldwide, irrevocable license to EH, our contractors, sub-contractors, and assigns to reproduce them for any purpose, including marketing and promotions, in any medium, without further obligation or compensation.

Miscellaneous

These Terms represent the entire agreement between travelers and EH. If any provision is so broad as to be unenforceable, it will be interpreted only as broadly as is enforceable. The invalidity of any provision will not affect the enforceability of any other provision.

These Terms will be binding upon the parties and their respective heirs, legal representatives, executors, successors, and assigns. If any other party seeks compensation for claims from which you have released us by agreeing to these Terms, you (or your estate) will indemnify and hold harmless EH for all sums reasonably incurred, including reasonable attorney costs and fees.

These Terms and purchases with us are subject to the laws of St. Lucie County, the State of Florida, and the United States. Any dispute arising from these packages shall be litigated exclusively in the courts of St. Lucie County, Florida.

We reserve the right to update or alter these Terms at any time. Amendments will be posted on our website at expeditionhumanitarian.org and take effect immediately upon posting. We also retain the right to deny access to our website and services at any time and for any reason.
